Meeting and Event Transportation in New Jersey

A conference, a gala, or a two-day sales meeting only starts on time if dozens or hundreds of individual arrivals do. Air Brook plans event transportation around your agenda: the airport arrivals, the loops between hotels and the venue, the rides for speakers and VIP guests, and the last departures of the night, all run by one dispatch team from our garage in Rochelle Park.

This page is written for the people who organize those days: corporate planners, associations, hotels, and destination management companies working in New Jersey and New York.

From Your Agenda to a Written Transportation Schedule

Every plan starts with paperwork rather than vehicles. This is how we work with a planner from the first call to the final invoice:

  1. Study the event. We review the agenda, the venue, the hotels, expected attendance, and arrival times.
  2. Plan routes and vehicles. We map pickup points and drop-off zones and decide how many vehicles each part of the day needs.
  3. Send a written schedule. Before the event, the planner receives the vehicles, pickup times and locations, and chauffeur and dispatch contacts.
  4. Run the day. Dispatch follows every vehicle by GPS, and the on-site coordinator, when there is one, stays in touch with the planner.
  5. Review together. Afterward, we go over the event with the planner and send the detailed invoice.

The most useful documents a planner can send early are the arrivals list with flight numbers and the hotel room block. From those two, we can tell quickly whether sedans, Sprinters, or a bus loop make the most sense for the airport arrivals, and the rest of the meeting transportation in New Jersey falls into place around them.

Speakers, Executives and VIP Guests Arriving by Air

Keynote speakers, board members, and honorees usually ride in a sedan or SUV with their own chauffeur, from the airport to the hotel, to rehearsal, and to the stage door. Commercial flights are tracked, so a delay shows up at dispatch before it turns into a gap in the program, and the chauffeur stays in touch with your speaker coordinator. Speakers booked through an agency can also be handled through our ground transportation for speakers bureaus.

Hotel Loops and Transfers Between Sessions

When attendees stay at one or more hotels, an event shuttle running timed loops keeps them moving between the rooms, the venue, and the evening program. We size each loop to the session schedule, with more vehicles before the opening keynote and at the close of the day and fewer in the middle. Around Raritan Center in Edison, for example, the hotel runs are short, so we plan departures every 10 to 15 minutes at the start and end of the show day. For a shuttle that runs on a regular schedule outside any event, such as an office or residential route, our scheduled shuttle programs are the better fit.

When to Add an On-Site Coordinator

We suggest an on-site coordinator when several vehicles run loops at the same time, which usually means airport arrivals spread across a whole day or hotel shuttles for a large group. We also send one whenever the planner asks. The coordinator manages boarding and vehicle flow at the hotel or the venue and stays in contact with our dispatch and with you throughout the day.

Loading Areas and Timing at the Venues We Work Most

Our chauffeurs know where buses load and where they are not allowed to wait at the venues that host most conference transportation in NJ:

  • Meadowlands Exposition Center, Secaucus: our most frequent exhibition venue, in Harmon Meadow with several hotels nearby. Route 3 and the Harmon Meadow roads back up at opening and closing time and on MetLife event days, so we stage vehicles early for rides to the Meadowlands Exposition Center.
  • Teaneck Marriott at Glenpointe: meetings and conferences 10 to 15 minutes from our garage, right off I-95, with easy front-entrance loading for Sprinters and mini buses.
  • New Jersey Convention and Exposition Center, Edison: buses load at the main entrance of this Raritan Center venue during show days at the Edison Convention Center.
  • Atlantic City Convention Center: about 2 to 2.5 hours from Bergen County at the end of the Atlantic City Expressway. For multi-day shows, the vehicles and chauffeurs stay in Atlantic City and run the hotel loops at the convention center there.
  • The Heldrich Hotel & Conference Center, New Brunswick: a tight curb on Livingston Avenue and no hotel parking, so sedans and SUVs use the front entrance while buses pull up only to load and wait nearby.
  • The Grove, Cedar Grove: galas and corporate dinners on Pompton Avenue (Route 23); valets run the front, so buses use the spot the venue assigns.
  • Liberty House, Jersey City: inside Liberty State Park, where we allow extra time on summer evenings because the park roads are busy.
  • Crystal Plaza, Livingston: drop-off at the main entrance on West Northfield Road, with buses waiting in the venue lot.

We also bring corporate hospitality groups to games and concerts, and the drop-off and pickup plans for MetLife Stadium and the Prudential Center in Newark each have their own page.

What Each Event Vehicle Costs by the Hour, With Its Minimum

Vehicles at an event are booked by the hour, with a minimum for each class:

The Airbrook Worldwide App and Web Portal for Planners

Planners can manage their own reservations in the Airbrook Worldwide app, which is free on iOS and Android. It shows rates, lets you book rides and see active and past reservations, and puts the chauffeur on a map during an active ride. Our web booking portal lets you make, change, and cancel reservations and download receipts at any hour; the answers about the booking portal cover the details. On the event day itself, dispatch follows all the vehicles by GPS and keeps the planner or the on-site coordinator updated, so nobody has to watch a screen between sessions.

Booking Early for Large Conferences and Peak Seasons

For a large event, for example, 300 attendees with airport arrivals and hotel shuttles, contact us 2 to 3 months ahead. Plan even earlier for May, June, and the fall conference season, or when a big stadium event falls on the same days. Mini buses and motorcoaches need 35 days’ notice to cancel without charge, so the vehicle plan should be settled at least 5 weeks before the event. To request event transportation, send us:

  • the hotels and the size of the room block
  • the expected attendance and the agenda
  • the arrivals list with flight numbers, if you have it
  • the names of speakers or guests who need a private car

Ride Counts, Coordinator Pricing and Less Formal Group Outings

Will we receive a report with ride counts after the event?

Not as a standard document. If you need a specific count, for example, riders per loop for a sponsor or your budget, tell us before the event, and we agree on how it will be recorded.

Is the on-site coordinator included in the vehicle price?

No. The coordinator is charged separately and quoted together with the event. A coordinator booking can be canceled without charge up to 7 days before the event.

We are planning a team outing, not a conference. Is this the right service?

For a group trip without a formal agenda, such as a company outing or a family reunion, our transportation for groups and outings is the better starting point. The vehicles are the same; the planning is simpler.
