Group Transportation in New Jersey
Moving a group is a different job from moving one traveler. Everyone has to reach the same door at the same time, the luggage has to fit, and someone always lands late or has to leave early. Our New Jersey group transportation is planned around exactly that, for company teams heading to an offsite, wedding guests flying in, sports teams and fans, school groups and friends going to a show, in vehicles for 6 to 55 passengers dispatched from our garage in Rochelle Park, where Air Brook has operated since 1971.
Which Vehicle Fits Your Headcount and Your Luggage
Seat count is only half the answer. A passenger van seats 13, but with a checked bag for every traveler it is comfortable for about 10, and a team carrying equipment may need the next size up. These are the vehicles we build group plans from:
| Vehicle | Passengers | Where it works best |
| Luxury SUV | Up to 6 | Executives who leave early, families, small airport groups |
| Passenger van | Up to 13 (about 10 with luggage) | Airport groups with checked bags |
| Mercedes Sprinter | Up to 14 | Wedding guests, client visits, team outings |
| 23-passenger mini bus | Up to 23 | Offsites, rehearsal dinners, youth teams |
| 37-passenger mini bus | Up to 37 | Company offsites, wedding guests between the hotel and the venue |
| 55-passenger motorcoach | Up to 55 | Large events, school trips, fan groups |
Most plans mix sizes. A bus carries the main group while an SUV or a sedan takes the people on a different schedule, and a group larger than one vehicle travels in several on the same timetable. When all you need is one large coach for one run, hiring a single bus with its driver is usually the simpler way to book it.
Choosing the size is part of the booking conversation, and one client wrote about the advice her group got on which vehicle to take:
“The reservation process was great – we received wonderful advice determining what size vehicle for our group! And we were able to easily move-up our reservation when we decided we should get to the airport early!” (Justine G., Google review)
Starting Prices for an SUV and How Larger Vehicles Are Quoted
The SUV starts at $116.80* per hour with a 5-hour minimum, and a one-way SUV ride from Rochelle Park to Newark Airport starts at $186.24*. Passenger vans, Sprinters, mini buses and the motorcoach are quoted on request, once we know the hours, the route and how many vehicles the plan needs.
*Starting prices from our online booking form. Tolls and parking are added, and a gratuity of at least 15% is added to every reservation.
Two Group Trips Our Dispatch Plans Again and Again
A Company Offsite for About 30 Employees
About 30 employees travel from their office to a conference venue for a day of meetings followed by dinner. We send a 37-passenger mini bus for the group and a sedan for the executives who have to leave early, so nobody holds up the bus. The organizer has one dispatch contact for the whole day, which is what makes it easy when dinner runs long or the agenda moves. When a program grows into several sessions, venues and timed runs built around an agenda, it belongs with our transportation for meetings and conferences.
Wedding Guests Landing at Newark the Day Before
Out-of-town guests land at Newark on different flights the day before the wedding. We group them by arrival time into SUVs and a Sprinter and take them to their hotel, and on the wedding day a mini bus runs between the hotel and the venue. The couple and the wedding party ride separately, with their own timing, through our wedding day transportation.
Meeting a Group at Baggage Claim in Newark, JFK or LaGuardia
Airport transportation for large groups comes down to getting everyone to one spot. Our chauffeur, or a greeter we send, holds the name sign at baggage claim, gathers the group and walks everyone to the vehicle, which waits in the airport’s area for commercial vehicles or pre-arranged cars. When you ask for this meet and greet, its charge is added to the quote.
When people arrive on different flights, the arrival times decide the vehicles:
- Flights landing within about an hour of each other: one larger vehicle usually works best.
- Arrivals spread over several hours: a few smaller vehicles, such as sedans, SUVs or a van, so the first people off the plane are not waiting at the airport for the last flight.
A client who has traveled with Air Brook in large groups for many years described what that takes off his mind:
“My wife and I have used Air Brook for many years with large groups as well and have never been disappointed. In the hectic world of travel it’s always reassuring that Air Brook always delivers and takes the worry out of meeting your flights and connections.” (John V., Google review)
Individual travelers and couples use the same dispatch team for rides to every airport in the region, so a group’s early arrivals or late stragglers can also be booked on their own.
One Contact and One List Keep the Group Together
Group trips rarely go wrong on the big things. They go wrong on small changes: a guest added the night before, a moved flight, a new pickup address. This is how we keep those under control:
- One contact at our dispatch office. The organizer works with a single person, who holds the schedule for every vehicle.
- A list of names, flights and pickup points. Each chauffeur knows who belongs in the vehicle and where to collect them.
- One person on your side. Someone in the group should hold the final list and be our contact on the day. Changes are easy to handle when they come from one person.
- A coordinator on site for larger events, quoted on request.
Several pickup points are routine for us. One client needed eight people and their suitcases collected from two addresses for a JFK flight:
“Needed to get 8 people with 8 suitcases from North Jersey to JFK and then 10 people with 10 suitcases to return back. … Airbrook picked us up at two different locations and then took us to the airport. … Vehicle was clean and had seatbelts for each passengers.” (Michele R., Google review)
When guests need to ride back and forth between a hotel and a venue all day, the repeating loop runs as an event shuttle on a timed schedule rather than as separate rides. Across every kind of trip, clients have given Air Brook a 4.9 average in more than 870 Google reviews.
Where Our Groups Go and Where the Bus Really Stops
We still take groups to Liberty Science Center in Jersey City, Grounds for Sculpture in Hamilton and NJPAC in Newark. Just as often, the trip is to a game or a concert at MetLife Stadium or the Prudential Center in Newark, a day in Atlantic City, or one of the hotels and wedding venues of North Jersey.
One tip applies to all of them: send us the exact entrance. The bus drop-off is often at a different door from the main one, and the bus usually waits in a nearby lot rather than out front, so settle on the meeting point for the ride back before the group walks in. Teams and fan groups can also plan around our game-day transportation, field trips and campus visits around our school and college transportation, and friends heading to a show around our concert rides.

Group Rides in Other Cities Through Our Affiliate Network
Our group transportation services also reach past New Jersey. Through our worldwide affiliate network, we arrange rides for groups in other US cities, in Europe and in Asia. Clients use it most for conferences and company events in other US cities, and the trip is booked through our office like any other.
Reserving Vans and Buses Ahead of Busy Dates
Sprinters and buses are the first vehicles to book up. For spring weekends, graduation season and December parties, reserve them 2 to 3 months ahead. For a mini bus or motorcoach, allow at least 35 days in any case, since that is also the cancellation window for those vehicles.
To build your quote, dispatch needs:
- the date, the headcount and the time the group needs to arrive
- every pickup point, with the names on the list for each one, and flight numbers for airport pickups
- the schedule for the day, including stops and anyone leaving early
- how much luggage or equipment is coming
- the name and mobile number of the person who holds the final list on the day
Send the list and the schedule to info@airbrook.com, call dispatch around the clock at (800) 800-1990, or start with our online reservation form.
Cancellations, Hourly Minimums and Other Details Organizers Ask About
How late can we cancel a van, a Sprinter or an on-site coordinator?
A passenger van can be canceled up to 48 hours before the trip and a Sprinter up to 7 days before. An on-site coordinator needs 7 days’ notice, and mini buses and motorcoaches need the full 35 days.
Is there a minimum number of hours when we book a van or a bus by the hour?
Yes. Vans, Sprinters and buses for up to 28 passengers have a 5-hour minimum, and larger buses have a 6-hour minimum.
What happens if our group is bigger than 55 people?
The 55-passenger motorcoach is our largest single vehicle, so a bigger group travels in two or more vehicles that run on one schedule, and the vehicles do not have to be the same size.
