Opening a Corporate Account and Setting Up Your Travelers

Setting up our corporate transportation service for your company takes one conversation, not a long application. The steps are:

  1. The company contacts us by email or phone, and we set up the account. Corporate accounts are approved at our discretion. A new customer who signs up on our web booking portal with a business email can also see corporate rates.
  2. You tell us which travelers and assistants may book on the account. Each traveler gets a profile that saves pickup addresses, phone numbers and preferences.
  3. Anyone authorized books online, in the Airbrook Worldwide app, by email or by phone, 24 hours a day.
  4. Rides are charged to a card on file or billed to the corporate account, and the receipt for every ride can be downloaded from the web portal.

Once the profile exists, repeat bookings take seconds. Many assistants book the same traveler every week, and a quick email or an app booking with the flight number is all dispatch needs.

Three Kinds of Business Travel We Handle Every Week

Corporate transportation in NJ rarely looks the same from one client to the next. These are typical of the work on our schedule in any given week:

  • A pharmaceutical company in North Jersey books airport rides for visiting colleagues and executives, with a meet and greet at Newark Airport. When a visitor has meetings at several sites in one day, they switch to a sedan by the hour.
  • A financial firm with offices in Jersey City and Manhattan books black cars for executives between the two offices, Newark Airport and client dinners, often late in the evening.
  • Company events, such as a sales meeting at a hotel or conference center: we bring attendees in from the airports and train stations in vans and Sprinters, then run a shuttle between the hotel and the venue. Larger programs are planned through our meeting and event transportation.

For airport rides, commercial flights are tracked and the chauffeur waits 60 minutes after a domestic landing and 90 minutes after an international one at no charge. Private flights into Teterboro and Morristown are not tracked, so the traveler, an assistant or the crew texts dispatch if the arrival time changes. Hourly Rates for a Day of Meetings

When an executive has meetings at several locations, booking a chauffeur by the hour is usually cheaper and calmer than separate transfers. The chauffeur stays with the passenger between stops, and hourly time counts from garage to garage:

Investor Roadshows and Days of Back-to-Back Meetings

Roadshows are occasional work for us, but they follow a set routine. The client’s assistant or the bank’s coordinator sends the meeting schedule, ideally the final list the evening before, and we confirm the timing and the vehicle the day before. Days usually start at a Manhattan hotel or the client’s office, sometimes at hotels near Exchange Place in Jersey City, or at The Heldrich in New Brunswick and the Westin Princeton at Forrestal Village when there are meetings in central New Jersey. An SUV by the hour starts at $116.80* with a 5-hour minimum, and the waiting between meetings is part of that time.

In Midtown and the Financial District the chauffeur usually cannot wait at the curb, so they drop the client at the door and wait at the nearest legal spot or in a garage. A text 10 to 15 minutes before the meeting ends brings the car back to the entrance. Around Exchange Place and Harborside there are more places to wait, and the car is usually a minute or two away. Dispatch follows the car by GPS all day, changes can go to the chauffeur by text or to dispatch at any hour, and if a car has a problem, dispatch sends the nearest available car from our own company-owned fleet. A dedicated standby car can be arranged on request and is quoted separately.

Official Visits to Trenton, Newark and County Buildings

Public agencies and elected offices book us occasionally, and the work looks much like our corporate rides: airport transfers and day rides for officials, staff and visiting guests between Trenton, Newark and North Jersey. Before an official assignment, dispatch briefs the chauffeur on the schedule, the addresses and the security routine at each building. The routine at the buildings we visit:

  • New Jersey State House and Richard J. Hughes Justice Complex, Trenton: drop-off at the public entrance, where passengers go through security. The car cannot stand at the curb, so the chauffeur waits nearby and comes back when you text or call.
  • NJ Department of Transportation offices, Ewing Township: the campus has visitor parking, so the chauffeur can usually wait on site and meet you at the main entrance.
  • Martin Luther King Jr. Federal Building and U.S. Courthouse, Newark: drop-off at the public entrance, with screening inside. There is no waiting at the curb downtown, so the chauffeur circles or waits close by until you text.
  • County courthouses and offices, such as the Bergen County Justice Center in Hackensack, near our base: the same drop at the public entrance and a wait nearby.

Agency days are usually booked by the hour at the rates in the table above, counted garage to garage, and a passenger van for up to 13 is quoted on request with a 5-hour minimum. Agencies request certificates of insurance and send confidentiality agreements the same way company accounts do, as described in the questions below.

Chauffeur Screening, Insurance and Discretion

Company travel policies tend to ask the same questions, so here are the answers. Every chauffeur passes a background check and a previous-employer check before hiring, and is assessed on driving and knowledge of the area before joining. Chauffeurs wear business attire, and what is said in the car stays in the car. All vehicles are GPS-tracked and have cameras. Insurance Certificates, Cancellations, NDAs and Late Nights

How do we request a certificate of insurance for an event?

Email us the exact name and address of the certificate holder and the event date, and we issue the certificate for that event.

How much notice do we need to cancel a company booking?

Sedans and SUVs can be canceled up to 2 hours before pickup, by calling dispatch. A passenger van needs 48 hours, a Sprinter or an on-site coordinator 7 days, and a minibus or motorcoach 35 days; those cancellations can be made by phone or email.

Will you sign our confidentiality agreement?

Our chauffeurs keep what they hear in the car private as a matter of course. If your company needs a signed confidentiality agreement for a specific trip, send it to us and we will review it.

How long will the chauffeur wait outside an office or restaurant?

At pickups that are not at an airport, the first 15 minutes of waiting are free, and waiting after that is billed by the minute. After a late client dinner, a pickup between midnight and 4:59 a.m. carries a $25 surcharge plus gratuity.
